The Challenges of a Digital Mission at the Heart of Education

Alloprof, a pioneer in digital adoption, saw its online education mission amplified during the pandemic. This transition brought its share of challenges. With a growing team spread across the vast Quebec territory, the organization needed tools capable of supporting its growth and facilitating collaboration.

Listening to students is at the heart of Alloprof’s approach. Understanding their needs, their consumption habits, and their learning contexts is essential to provide effective and accessible academic support. Moreover, as a non-profit organization, Alloprof must maximize the impact of every dollar invested. Every saving made on technological tools allows for more resources to be devoted to student support.

Managing peak usage, particularly at the start of the school year or during periods conducive to remote meetings, such as the pandemic, represents another major challenge.

Finally, trust is a fundamental element of the relationship between Alloprof and its user community. Data security, especially for minors, is an absolute priority. Alloprof was therefore looking for technological solutions capable of guaranteeing this security while respecting its minimal data collection practices.

To meet these challenges, Alloprof adopted a set of Google solutions.

Adopted Google solutions

Looker

Looker, a data analysis tool, has become central to decision-making, enabling Alloprof to transform into a “data-centric” organization. The integration of Looker with Firebase and Google Analytics has created a reliable and unified data source, essential for understanding student needs and measuring the effectiveness of initiatives.

DLP

Security being paramount, Alloprof also implemented Google’s DLP (Data Loss Prevention) solution to strengthen the protection of sensitive data, a need particularly amplified in the context of Quebec’s Bill 25.

Chromebook et Chromebox

In terms of physical devices, the Alloprof team notably uses Chromebooks and Chromeboxes, appreciated for their ease of management and their ability to meet the team’s diverse needs. Alloprof is even exploring the possibility of a complete transition to Chromebooks, relying on compatibility solutions for existing tools on other platforms.

Google Meet hardware

Finally, to promote collaboration and in-person exchanges, Alloprof has equipped some of its offices with Google Meet Hardware, thus facilitating meetings and interactions between team members present both in the office and at home.

Results with Google Cloud and Google Workspace

The migration to Google Cloud has enabled Alloprof to significantly improve its security. By internalizing the management of its infrastructure and adopting best practices, the organization was able to address the weaknesses of its previous configuration. “In a world of physical infrastructure, we could never have accomplished all of this with a single person in a year and a half,” emphasizes the Technology Director.

Firebase has proven to be a major asset in managing seasonal fluctuations in usage. The platform allows Alloprof to absorb peaks in demand, related to the start of the school year or exams, without having to anticipate or adjust its infrastructure, thus guaranteeing a smooth experience for students, even during periods of high traffic.

Google Workspace has also simplified user account management, providing developers with unified access to all tools and resources. The use of organizational units and dynamic groups has accelerated the onboarding of new employees, giving them access to the right tools and permissions from the moment they arrive.

Finally, the reservation of rooms and offices via Google Calendar has optimized the use of workspace, a valuable asset for a growing team whose Montreal offices have become more crowded.

Looking ahead : AI at the Service of Personalized Education

Alloprof looks to the future with optimism, particularly exploring the potential of artificial intelligence (AI) to personalize the help provided to students. The organization wants to use AI to better understand the specific needs of each student and adapt its support accordingly, as well as to facilitate the creation of its educational content with generative AI. To move forward with these projects, the Alloprof team pays particular attention to ethical issues and appreciates that Google has quickly established guidelines on the use of AI and seems to have good ethical and environmental benchmarks.
